In our last post, we introduced you to a bold startup in Iowa, determined to implement ISO 9001 from day one.
You likely have a lot in common with them. They built a scalable quality management system from the ground up. I am sure excellence matters to you too.
Video Calls Begin: Laying the Foundation (ISO 9001, clause 4.4)
As we kicked off our remote collaboration, it became clear that we needed to focus on creating a system that could grow with the company. The founders had ambitious plans, and we needed to ensure their quality management system could keep pace.
Starting with the Basics: Order Processing (ISO 9001, clause 8.2)
We began where every business transaction starts: receiving an order. At this point, the company’s order entry system was nothing more than an Excel spreadsheet. While this might work for a handful of orders, it certainly wouldn’t scale.
Our goal was to design a system that could handle their operations at $1 million in revenue - a threshold they optimistically hoped to reach someday. Little did we know they’d cross that mark in just 14 months!
We focused on identifying the essential tasks involved in order processing, and determining the sequence and interaction of these processes. This approach allowed us to create a flexible system that could adapt as the company grew.
Exponential Growth: A Welcome Challenge
The owners’ expectation of rapid growth proved prophetic. As word spread about their superior customer service (a direct contrast to their previous employer), orders flooded in.
Their phones rang constantly with appreciative customers, thrilled to have found a solution to their industry needs.
This growth validated our decision to create a scalable system from the start. Had we settled for a bare-bones approach, the company would have quickly outgrown its processes, leading to chaos and potentially compromising quality.
Designing the Process Flow
As we built out their quality management system, we focused on several key areas:
Communication of Order Requirements: We established clear protocols for how order details would be communicated throughout the organization.
Design and Development (ISO 9001, clause 8.3): With each piece requiring custom manufacturing, we needed a robust system for creating and managing technical drawings.
Supply Chain Management (ISO 9001, clause 8.4): We developed processes for negotiating with suppliers, ensuring they could meet the company’s quality standards and delivery requirements.
Order Information Capture (ISO 9001, clause 8.1, 8.2): We created a comprehensive list of required information for each order, ensuring nothing was overlooked. This was particularly crucial for their medical industry work, where standards are stringent and non-negotiable.
Customer Interface: We designed a user-friendly system for capturing customer requirements in an orderly manner, ensuring all necessary information was collected upfront.
Lessons Learned
This startup’s journey offers valuable insights for other new businesses considering ISO 9001 implementation:
Think Big: Design your systems with growth in mind. What works at the startup stage may quickly become obsolete as you expand.
Focus on Core Processes: Begin with the essential processes that drive your business, like order processing. Get these right, and other elements will fall into place more easily.
Embrace Flexibility: Your initial plans may need adjustment as you grow. Build in the flexibility to adapt your processes without compromising quality.
Prioritize Customer Needs: This company’s success was largely driven by their focus on addressing customer pain points. Let customer needs guide your quality management approach.
Don’t Underestimate Growth Potential: This startup crossed the $1 million threshold much faster than anticipated. Plan for success - your growth might surprise you!
The story of this Iowa startup demonstrates that implementing ISO 9001 from inception is not only possible but can be a key driver of rapid, sustainable growth. By focusing on scalable, customer-centric processes, they built a foundation that could support their exponential expansion.
Call to Action: Are you a startup looking to build a quality management system that can support rapid growth? Or an established company needing to scale your existing processes?
